New from OCG: New Award Emails to PIs & Average Weeks to Setup Dashboard

As part of the Office of Contract and Grant’s (OCG) work to improve communication about new awards and setup time, OCG is launching two new features: notification of receipt of new awards and Average Weeks to Project Setup dashboard. Both projects have been reviewed by PIs, department administrators and OCG staff with their recommendations taken into consideration.

Notification of Receipt of New Awards

  • Currently, PIs do not receive regular notification of new awards until a SpeedType is set up by CCO’s Research Financial Services. Beginning the week of August 25, PIs will receive email notification when new awards are received in OCG.
  • Notifications are sent at the end of each day for new awards (but not incremental funding) received in OCG on that day.
  • The email is autogenerated through InfoEd from “Office of Contracts and Grants OCG” with the email subject line “New Sponsored Project Award Received by OCG.”
  • The email provides notice of receipt, high level information about the award, link to our new Average Weeks to Project Setup Dashboard (see below), information about typical project setup times, how to help the process, and SpeedType setup.
  • For the initial phase, we are unable to include department research administrators on the email notification; however, we are working on making this possible.

Average Weeks to Project Setup Dashboard

  • OCG has launched a new , which provides a graph of the average time to project setup for funded and non-monetary awards (both new and incrementally funded) and count of all award increments created by quarter.
  • The data is updated on a quarterly basis and made public to provide insight into OCG processing timelines.
  • Selections can be made on the right side of the dashboard to view different slices of data.
  • We recently reviewed data to learn more about what contributes to delays in project setup. We found that one of the top reasons for delays is waiting for information, forms or other responses from PIs. We understand that everyone is juggling many priorities, and we appreciate our PI’s help in providing requested information as soon as possible to help the process move along.
